I'm an Independent Record store, how do I create a file to report my sales?

To report your Independent Record store sales, you’ll need to begin by creating a sales file. For your convenience, we have created an excel macro that will make this process easier.  Please scroll to the bottom and download the attached zip file. You can utilize the "Physical Indie (I3) Template" to create your sales files.


If you still wish to manually create the files, please follow the formatting instructions listed below: 

First, download and open the program Notepad ++.


Here is our example sales file:

 



File Header (First line only):

924030XXXXXYYMMDD

 

The ‘92’ indicates that this is the header, and contains the header information.

The ‘4030’ is the standard chain for all of our providers.

The ‘XXXXX’ is where the account number you are provided will go.

The YYMMDD is the date of the sales contained in the file.


 


Sales reporting lines:

I3060254767739600005

The ‘I3’ indicates this is a sales line. Every sales line starts with “I3”.

The next line will contain the 13 digit EAN (UPC) that is attached to the album. 

Finally, the quantity of the unit being sold. **If you are reporting returns, the quantity field would look like this: I30602547677396-0004 (a negative number is present rather than 0005.)




File Footer (Last line only):

94000020000001


The ‘94’ indicates the end of the file.

00002” is showing that there are 2 total sales lines in the file.

0000001” is a field indicating 1 net unit sales.
